KUCCPS 2020 Intake, Application Procedure, Placement, and Revisions

KUCCPS 2020 intake is currently under preparation but the application window for 2019 KCSE candidates is not open yet. However, the portal is likely to open within the next 7 days to allow students to revise their program selections. In the meantime, let’s get a better understanding of KUCCPS, the application process and much more

Update: The portal will be open for first revision as from 17th Feb to 9th March.

What is KUCCPS?

The Kenya Universities and Colleges Central Placement Service (KUCCPS) is a body corporate established under the Universities act of 2012 that is mandated, among other functions, to coordinate the placement of government-sponsored students to universities and colleges.

KUCCPS has the largest database of universities and colleges in Kenya and all the eligible programs they offer since it registers all the institutions eligible for students’ placement, a necessary part of data collection.

As of this year 2020, it offers placement in 542-degree programs, 216 diploma programs, 112 certificate programs, and 145 artisan programs from 69 universities and 146 colleges.

KUCCPS Portal

The KUCCPS portal is divided into 3 sections; Student Portal, Principal’s Portal and Institutions Portal. The Student portal is what we will focus on today but allow me to give you an idea of what the other two portals are and how they coordinate with the student portal.

The Principal’s portal enables principals of high schools to register form 4 students based on their index numbers and their first career selections before they sit for the KCSE Exams. This is to enable direct first-time placement of students who score above C- in their exams.

The Institution portal allows universities and colleges to add available programs to the systems and the slots available. Registered institutions must be accredited by institution bodies Commission of University Education (CUE) for universities and Technical and Vocational Education and Training Authority (TVETA) for Colleges

The student Portal

This part of the KUCCPS site allows students to select their career choices and revise them in case they have to. Typically, students were allowed to select their first career choices while in high school using KUCCPS application forms whose data is later inputted into the KUCCPS portal.

Once the results are out and the KUCCPS first placement has been done, the portal is reopened again to allow students to revise their career choices if they are not satisfied.

Application Procedure.

KUCCPS application procedure is rather simple. First, you need to log into the student portal.

1. Visit students.kuccps.net

2. Log in using the following details

  • Username: Full Index Number
    • Year: Your KCSE year
    • Password: KCPE index number or Birth Certificate Number

3. Once you log in, the portal dashboard will appear. The dashboard is pretty straightforward and easy to navigate.

4. To check available programs, select the Programmes Tab

5. To check programs provided by a specific institution, first select the Institutions Tab, Find your institution of choice then check the programs offered.

6. A course basket is provided for you to collect courses, which you find interesting.

7. Once you have a list of courses you prefer, arrange them separately on a piece of paper according to passion and preferences. Take note of their Codes

8. Click the Application/Revision Tab

9. Input the Programmes Codes in order and confirm.

10. You will be prompted to pay a processing fee of 1500 for first time application or 1000 for revision application.

11. Payment procedure

  • Go to your Lipa na M-PESA Menu
  • Select Pay Bill
  • Business Number: 820201
  • Account Number: KCSE Year and KCSE Index Number (no space)
  • Amount: Ksh 1500 (First time) or Ksh 1000 (Revision)
  • Enter your M-PESA PIN and Send.

12. Finally, ensure you keep your M-Pesa transaction code in an accessible place since it will be required whenever you wish to make any subsequent changes.

Requirements for Application

KUCCPS students applicants eligible for placement must have fulfilled the following conditions

  • Kenyan Citizen
  • Sponsorship will only be eligible for immediate KCSE students preceding the selection of placement. Meaning you must be a fresh KCSE graduate
  • Must have a C+ and above for degree programs application or a C- for a diploma course.

Applicant choices

  • Applicants with an overall grade of C+ and above can select a maximum of 8 choices (Degrees or Diplomas)
  • Applicants with C- or C can select a maximum of 6 diploma choices.
  • Choices 1a, 1b, 1c must be similar programs while 2, 3, 4, 5, and 6 can be any program.

Note that all programs have minimum subject requirements. Thus, you can only apply for a course whose minimum requirements you meet. However, the selection and placement will depend on the overall performance, demand of programs and the available capacity.

How to check degree, diploma or course selected

This also simply involves logging into your account using your index number as the username, year of KCSE, and Birth certificate number or KCPE index number as your password.

Once you are in, you should see a display notification of the program you have been placed in.

Admission Lists

Following the successful placement of students by the KUCCPS, all institutions involved will be required to come up with Admission lists for students who have been placed into their programs. This list comes as a supplementary document that confirms your placement in a specific college or university. You will receive an admission letter, which you will use to register as a student in the institution in your first year of the program.

NB. If you fail to secure placement during the first revision of courses, here are great tips to get you sure placement during KUCCPS second revision.

  1. Hello, I did a transfer a month ago and it took long to be processed and I got the results about a week ago and unfortunately it was rejected. The course that I had applied for is the only one that I was interested in and as I tried to look for another one, I couldn’t find any since I was only interested in the one which was rejected and the deadline was today. So can I get a refund of my money or not?

    • Hey Ted, the transfer fee is non-refundable…it was not a payment for you to join the preferred course, it was a payment for you to access the transfer services. KUCCPS cannot refund you even though they couldn’t successfully place you in a course.

But in my opinion, i think the file you need to apply may be a more detailed report on the reason for transfer or a document that would act as proof for the issue you’ve stated as the reason for transfer.

    • Hi Ted, sorry to hear that. There are several things you might want to do. First which is the easiest is seeking course change services from the university you have been selected into. This process requires you to go through all courses your university offers and identify the ones that have cut off points lower than your KCSE points. Then find out which course is preferable to you and seek course transfer services after you have been admitted to the university.
      The second thing I think you might want to do is to find out which university offers your dream course and whose cut off points are below your KCSE points. Then seek interuniversity transfer services from HELB. Once you are admitted to the new university, you can then seek course transfer to your dream course as long as you have met the requirements.
      Take note though that these two processes are subject to several factors such as course competition and university capacity so it’s never a guarantee you will get the course you hope for. But it’s worth a try.
      The last option available is to apply as a self-sponsored student in your preferred course. This might be expensive but if you meet the minimum grade for self-sponsored students, you are 99% likely to be taken by the university to undertake the course. After all, Kenyan universities are drowning in debt, they need the money.

    • Hey Ted, sorry to hear that. I think you can just log into your KUCCPS account and change the personal email address to the new email you have…during future communications, KUCCPS will use the new email to send you messages.

    • Hey Stephen. It depends on several things. First Electrical and Electronics Engineering is under cluster 7a which requires you to pass Math, Physics, Chemistry and either English or Kiswahili. Your aggregate points will be calculated based on these subjects. If they surpass the cut off points for BSc in Electrical and Electronics Engineering at Technical University of Kenya, then you have a chance of being admitted. Secondly, the level of competition for the same course in the same university will also determine the chances of selection. If the competition is high, the best students will be selected depending on the number of government sponsored spaces in the institution. Another factor is whether it was the first option or not. You are more likely to be picked for a course if it is your first choice.

For the first question, logically you will be grouped among the students that applied for diploma in electrical and electronics engineering in the institution you choose as your first selection, then the best students among that group will be picked to join that specific institution. If you are not among them you go to the next group of students who chose dip in electrical and electronics engineering in the second institution you chose. Then the process goes on

    • Hey Erick, take heart friend, there may be a chance for you to get your dream course although it might be tricky or expensive.
      First, during the second revision, ensure that the course you choose falls into a university that offers Law courses. If you get placed in any of them, you can then seek course transfer as long as you have met the minimum requirements for that course. This, however, is not straight forward. If the university has no additional space for government-sponsored students, you might be given a chance as a self-sponsored student which however is very expensive.
      Secondly, you can choose the long way, starting with a diploma or certificate in law, whichever you can get…then progressing up after some years. If Law is really your passion, then time doesn’t matter. This route will make you work hard and stay determined because all along you will know how hard it took to be there.
      Lastly, there are courses that have a very huge correlation with law such as Criminal Justice and Criminology, Political Science and Sociology. These courses can actually work out for you since you love law.
      One thing I need you to do now is to relax and think positively. When you get your placement next month…don’t panic. Start by seeking information and advice from relevant people around you. Be open-minded. Don’t assume your life will be over if you don’t end up in law. Life is very interesting my friend. You need to take it with a positive mindset no matter the outcome. My problem is am worried how the placement has been done. Is it true that maybe they will consider for example my degree part but only if I miss the course because I did not get the requirements needed to do it they will embark on my diploma course or how is the selection done. Please help

    • Hello Coles, I understand the predicament you are going through now, it’s unsettling. But you know what you need to do? its to stop worrying about it. Because the selection has already been done.
      What happens in my view, during the course selection process, they first group all the students that have selected a particular course from a particular institution as their first choice into one group.
      Now let’s assume your first choice was Bachelor in Science Nursing at Kenyatta University and Egerton University as the second choice. They group every other student who made this same selection into one group.
      Next, from your group, they rank you according to your cluster points. Then depending on the capacity that Kenyatta University has for Nursing students, they pick the top students.
      If there were 1000 students in that group and KU only has a capacity of 100 students in the nursing class, they select the first 100 students depending on the cluster points.
      If you don’t make into this group, you are pushed to the next group of students; students who chose Bachelor of Science in Nursing at Egerton University.
      Now don’t forget there were students who chose Egerton University as their first option. If they were selected and filled the positions available, then you are pushed to the third group. This goes on and on until you are placed somewhere.
      This is why I usually advise students to put their first option as an option they are almost certain they can get it considering the competition and their cluster points.
      However, Coles, at this point you need to stop worrying and wait for the announcement to be done. Worrying doesn’t help. You need to trust that things will be fine wherever you are placed. Think Positive and good things will manifest. All the best though.

    • Hello Eric, That means you have already been placed in one of the courses you applied to so you don’t need to do a second revision. Just wait and when the placement process is done, you will be informed the course that you got. Congratulations by the way.

    • Hello Ted, that probably means the course is full to capacity and no more students can be taken in any of the institutions providing it.

First, you need to know that your first choice, whether a diploma or a degree should be within your aggregate points. However, you also need to remember that there is competition for your course too, so if you haven’t surpassed the required aggregate points by far, other people may be selected and you’d be forced to the next course selection. I’m not sure how having both a diploma and a degree in your choices affects your selection. All im saying you need to select something that you are highly likely to get.

    • Hello Wnakan, If you want to be placed by the Government in any university college or institution, you must use the KUCCPS portal. If you applied to the institution through their own application procedure, then you will be accepted as a self-sponsored student.

    • Hello Wnakan, If you want to be placed by the Government in any university college or institution, you must use the KUCCPS portal. If you applied to the institution through their own application procedure, then you will be accepted as a self-sponsored student.

    • Hello Cleopas….Actually i dont work for KUCCPS so i dont know when they will be placing the student after the first revision. But Give it a month or two maximum.
